Operations

Formation gives you a company. Operations is what runs it.

Prolify runs the operating layer of a US company for founders who do not live in the US: the compliance calendar, the corporate record, the document vault, and an assistant that reads your company's real status before it answers. Live on every plan.

What Prolify Operations is

Prolify Operations is the layer that runs a US company after it is formed. It gives every Prolify customer a founder dashboard, a compliance calendar, a document vault, a company record and an assistant that reads the company's live status before it answers. It is included on every plan. It is not a project-management tool.

The gap

Incorporation is an event. Operating is a calendar.

Forming a US company creates a legal entity. It does not create a filing calendar, keep the corporate record, or tell anyone what the entity now owes.

That gap is wider when you do not live in the country. The deadlines belong to a jurisdiction you have never filed in, the notices arrive at an address you have never seen, and the office that could answer the question is asleep while you are working.

Prolify holds that layer so the company keeps running between the moments when you are looking at it.

What you get

Live on every plan, from day one.

Founder Dashboard Live today

The company on one screen. Entity status, the next deadline, what is outstanding and where each service order has got to, in one place rather than five tabs and an inbox.

Compliance Calendar Live today

Every tracked deadline, with its source. Deadlines carry a category, a due date, a status and a link to the authority that sets them. You can add your own, mark them done, and filter by category: annual report, franchise tax and registered-agent renewal among them. What each obligation actually requires lives on /compliance, not here.

Document Vault Live today

The corporate record, searchable and yours. Formation documents, EIN letter, filings and correspondence in one permissioned place, taggable and searchable. Exportable in full, at any time, without asking us.

Company Record Live today

One authoritative version of the entity. Legal name, entity type, state, addresses and ownership held once and reused by every filing Prolify prepares, so the same detail is not retyped into four forms.

Deadline-Aware Assistant Live today

Answers from your data, not from memory. It reads your live order status and your compliance calendar before it answers, retrieves from a reviewed knowledge base rather than improvising, and hands anything irreversible to a person.

The assistant

What it does, and what it will never do

It does

  • Reads your live service-order status, covering formation, EIN and filings, before it states one.
  • Reads your compliance calendar, and says so when the calendar has not finished loading rather than telling you that you owe nothing.
  • Generates the ordered formation-to-compliance roadmap for your entity type and state.
  • Answers from a reviewed knowledge base and cites what it used.
  • Opens a support ticket, or hands you to a person, when it cannot resolve something.

It never

  • Gives legal, tax or financial advice.
  • Files anything with a state or the IRS.
  • Moves money, issues a refund, or changes ownership.
  • Deletes your account.
  • Acts on anything irreversible without a person approving it first.

The principle

Software does the reversible. A person approves the irreversible. That is enforced in the system, not asked for in a prompt.

Who this is for. And who it is not.

Who this is for

  • You do not live in the US and the company does.
  • You are the only person running it, and there is no operations hire coming soon.
  • You already have a US entity somewhere else and want it in one place.
  • You are heading into a raise, a hire or an acquisition and the record has to be clean.

Who this is not for

  • You want a Notion, Linear or Asana replacement. This is not one, and we are not trying to be.
  • You want a fractional CFO before you have a bookkeeper. Get the basics running first; the operators come later.
  • You want someone to make the legal or tax decision for you. We will route you to a person who can advise, and the decision stays yours.

Partner-led

When the answer needs a person

Some questions are not a software problem. When one comes up, Prolify scopes it with a vetted specialist and coordinates the engagement; the specialist delivers it.

  • A fractional COO when the operating load has outgrown the systems.
  • A fractional CFO for fundraising preparation or a financial model.
  • A licensed attorney or CPA for a decision that requires a credential.
  • An operations specialist for a migration from another provider.
  • A strategic review before a raise, a hire or an acquisition.

These are engagements, not seats on your team, and they are priced per engagement rather than bundled into a plan.

In build

In build. Not sold today.

These are being worked on. They are not on your plan, you cannot buy them, and we are not going to imply otherwise.

  • Coming soonA deeper agentic layer that acts across the company rather than answering about it.
  • Coming soonBusiness intelligence and KPI reporting on top of the operating data.
  • Coming soonWorkflow automation for the repetitive parts of running the entity.
  • Coming soonTeam collaboration for companies with more than one founder.
  • Coming soonDocument drafting for routine corporate records.

Questions

What founders ask before they move in.

Is this a project management tool?

No. Prolify is the operating platform for your U.S. company: entity, compliance, finance, documents, deadlines. Use Notion, Linear, or Asana for product and team work.

What does the assistant actually do?

It reads your live order status and your compliance calendar before it answers, generates your formation-to-compliance roadmap, and answers from a reviewed knowledge base rather than from memory. When it cannot resolve something it opens a ticket or hands you to a person. It cannot file, pay, or change ownership: those go to a human queue for approval.

Does this work if I don't live in the US?

That is who it is built for. The company is American; you are not. Prolify holds the calendar, the record and the filings on your side of that gap, and the assistant answers at the hour you are actually working.

When will the AI Chief of Staff ship?

The deeper agentic layer is in build. We won't pretend it ships today. What is live is the assistant described above: it reads your status, your calendar and the knowledge base, and routes anything irreversible to a person.

How do fractional executives work?

Partner-led, by request. Tell us what you need, a fractional CFO for fundraising prep, a COO for operations, and we scope it with a vetted partner. Prolify coordinates the engagement; the specialist delivers it.

Can I export my documents if I leave?

Yes. The Document Vault is exportable in full at any time.

Operations

The company is formed. Now it has to run.

The operating layer is on every plan, from the day the entity is filed.
